Donor Privacy Policy
Health In Harmony, Inc.

This is an official policy approved by Health In Harmony (“HIH”) Board of Directors on Sunday, September 15th, 2008.

Health In Harmony (HIH) maintains the highest level of respect for the privacy of its donors. In furtherance of our commitment to honor your rights, we have developed this Donor Privacy Policy to guide our volunteers and staff on how they may and may not use your personal information. This policy may be updated from time to time.

What information we collect

HIH collects and uses various personal information from donors which includes: amount donated, address, telephone number, donor comments, e-mail address, and notes. Tax laws in the United States and the Commonwealth of Massachusetts require HIH to keep contact information and contribution level of donors on file.

How we use donor information

HIH will never sell, trade, rent or share names, e-mail or mail addresses, or telephone numbers of our donors. HIH will use contact information (e-mail, telephone number and address) of donors for these purposes only:

  • Distribute receipts for donations
  • Thank donors for their donation
  • Inform donors about upcoming fundraising and other activities of the organization
  • Internal analysis, planning, and record keeping
  • Reporting to relevant U.S. and State agencies (these reports are not for public inspection)
  • Contact donors about changes to this policy

We may also use contact information you provide in connection with honor cards to communicate with certain honorees for marketing, educational, informational, and other purposes.
Properly anonymized donor information may be used for promotional and fundraising activities. We allow donors the option to have their name publicly associated with their donation unless the donor explicitly chooses the “anonymous.” Once a year HIH may publish an alphabetical listing of donors in its annual report. In all other cases the default is for staff and volunteers to assume all donations are not to be publicly announced unless the donor explicitly indicates otherwise. Comments sent to us via email, fax or telephone are kept strictly confidential, unless the donor gives consent to share the comments.

Financial information

All access to donor financial information is limited solely to professional staff, Board members or other volunteers who need it for planning or to internally record and process those data. No such data are given to any person, organization or group except as directed by the donor or as ordered by a court. In the highly unlikely event of a court order requiring disclosure, any affected donor will be notified in writing prior to the release of any data. All HIH professional staff and volunteers working with donor information are required to review and acknowledge in writing compliance with this policy.
